# Restaurant Bookkeeping Services Evaluation Guide: A Five-Point Scorecard

**Short answer:** Evaluate a restaurant bookkeeping service on five things, in this order: how it reconciles delivery app payouts, how it proves sales accuracy against your POS, how fast it delivers a finished P&L after close, how much genuine restaurant expertise is on your account, and how it connects to the software you already run. Score each one from what the provider can show you, not what they say, and the right choice usually becomes obvious.

Every week I get some version of "we're comparing two or three bookkeeping services, how do we pick?" The honest problem is that every provider's website says roughly the same thing: accurate, timely, restaurant-focused. So this is the scorecard I give owners. It's five criteria, each with a specific question to ask and a specific thing to look at. It works for evaluating [FIXE](https://www.getmyfixe.com/how-fixe-works/) and it works for evaluating anyone else, which is the point.

## Why do restaurant bookkeeping services need their own evaluation criteria?

Because the mistakes that hurt restaurants aren't general bookkeeping mistakes. A bookkeeper who does fine work for a law firm will book a DoorDash deposit as sales, treat tips as revenue, miss that your sales tax liability is already sitting in the POS, and close your month whenever the last invoice happens to show up. None of that shows up on a generic checklist. All of it shows up on your P&L.

So the criteria below are deliberately restaurant-specific. If a provider can't answer them concretely, that's your answer.

## Criterion 1: How do they reconcile delivery app payouts?

**What to ask:** "Walk me through exactly what happens to a DoorDash payout when it hits my bank."

**What a good answer sounds like:** They pull the platform statement, not just the bank deposit. Gross orders are booked as sales, commissions and marketing fees are booked as expenses, refunds and chargebacks are booked as adjustments, and the net ties to the deposit to the penny. They do this for every platform, every payout period, and they can show you the reconciliation.

**What a weak answer sounds like:** "We record the deposits." That means your revenue is understated, your fees are invisible, and your food cost percentage is wrong. We wrote up the correct process in [the DoorDash, Uber Eats and Grubhub reconciliation guide](https://hub.getmyfixe.com/communal-table/doordash-uber-eats-grubhub-reconciliation-guide); use it as the standard.

## Criterion 2: How do they prove sales accuracy against the POS?

**What to ask:** "How do you know my recorded sales match what actually rang through the POS?"

**What a good answer sounds like:** A daily or weekly sales journal is built from the POS report, broken into food, beverage, other, sales tax collected, tips collected and discounts. Cash, card, delivery and gift card tenders are tracked separately so each one can be reconciled to its own deposit. Variances get flagged and explained, not buried.

**What a weak answer sounds like:** "We book the deposits from the bank feed." Bank deposits are net of processing fees and arrive on a lag, so "sales" booked that way are wrong in both amount and timing. If you want to understand why this matters, read [why your sales and bank deposits never seem to match](https://hub.getmyfixe.com/communal-table/sales-bank-deposits-different-account-for-tax-tips-fees).

## Criterion 3: How fast is a finished P&L after close?

**What to ask:** "How many business days after period close do I have a finished P&L, and what does 'finished' mean?"

**What a good answer sounds like:** A number. Ours is [within five business days of period close](https://hub.getmyfixe.com/communal-table/how-fast-should-a-restaurant-get-its-p-l-after-the-period-closes), and finished means reconciled to the bank, delivery platforms accounted for, payroll and accruals posted, and the balance sheet ties. Anything inside ten business days is workable for a small restaurant. Anything measured in weeks means the report can't change a decision by the time you see it.

**What a weak answer sounds like:** "Monthly." That's a frequency, not a timeline. Also ask what they need from you to hit the number, because a five-day close usually depends on invoices being submitted and inventory being counted on a schedule.

## Criterion 4: How much restaurant expertise is actually on my account?

**What to ask:** "Who will be doing my books, and how many restaurants do they work on?"

**What a good answer sounds like:** A named account manager whose whole book of business is restaurants, backed by a team that has seen your exact situation before: tip credits, 13-period calendars, franchise royalty fees, multi-entity groups, catering deposits. You should be able to ask a restaurant-specific question and get a restaurant-specific answer without escalation.

**What a weak answer sounds like:** "Our team handles many industries." That isn't disqualifying for a very simple operation, but it means you'll be the one teaching them the restaurant rules, and you'll find out which ones they missed at tax time.

## Criterion 5: Does it fit the software you already run?

**What to ask:** "Which POS, payroll, and delivery platforms do you integrate with, and what do I have to change?"

**What a good answer sounds like:** They connect to your current POS, your payroll provider and the delivery platforms, and they tell you plainly whether the accounting software is theirs or yours. If a subscription to accounting or invoice software is included, that should be stated up front along with the price. Our plans, for example, include the software subscriptions in one published monthly fee, which you can see on the [pricing page](https://www.getmyfixe.com/pricing/).

**What a weak answer sounds like:** "You'll need to switch to our platform." Sometimes that's right, but it should be a decision you make with the costs in front of you, not a surprise in onboarding.

## How do you score the providers side by side?

Put every provider you're considering into the same table and score each criterion from zero to two: zero means they couldn't answer or the answer was wrong, one means a general answer, two means a specific restaurant answer with evidence. A total of eight or above is a serious candidate. Below six, keep looking. Here's the sheet with the evidence to ask for.

| Criterion | Evidence to ask for | Score 0 | Score 2 |
| --- | --- | --- | --- |
| Delivery reconciliation | A sample payout reconciliation for one platform | Deposits booked as sales | Gross sales, fees, refunds and chargebacks split and tied to the deposit |
| Sales accuracy | A sample daily or weekly sales journal | Sales taken from bank deposits | Built from POS, tenders tracked separately, variances explained |
| Reporting speed | The close timeline in writing | "Monthly" or no commitment | A stated number of business days, with a definition of finished |
| Restaurant expertise | Who's on your account and how much of their work is restaurants | Multi-industry team, no named person | Named restaurant-only account manager |
| Integration fit | List of supported POS, payroll and delivery platforms; what's included in the fee | You must switch platforms, costs unclear | Works with your stack, included software stated, price published |

## What else should you check before you sign?

The five criteria cover the work itself. Three more things cover the relationship.

- **What happens to your history.** If your books are behind, ask whether catch-up is included, priced separately or excluded. Get the number.
- **How you get answers.** Email with a stated response time is fine. A ticket portal with no human isn't. A monthly call to walk the P&L is the mark of a service that expects you to actually use the numbers.
- **How you leave.** You should own your accounting file and be able to export it. If the answer to "what if we part ways?" is vague, that's a lock-in strategy, not a service.

## Frequently asked questions

### What should I look for when hiring a restaurant bookkeeper?

Restaurant-specific competence first: delivery payout reconciliation, POS-based sales journals, tip and sales tax handling. Then a written close timeline, a named person on your account, integrations with your existing POS and payroll, and published pricing. Credentials matter less than whether they've solved your exact problems before.

### What should independent restaurant owners know before outsourcing their bookkeeping?

That you're buying a process and a schedule, not just a person. Ask what they need from you each week to hit the close, expect to spend an hour or two a month reviewing reports, and make sure you keep ownership of your accounting file. The service should make you a more informed owner, not a less involved one.

### How do I know if a bookkeeping service really specializes in restaurants?

Ask them to explain how they handle a DoorDash payout, a tip credit and a 13-period calendar. Specialists answer immediately and specifically. Generalists talk about their process. You can also read [how to tell if your restaurant bookkeeper is doing a good job](https://hub.getmyfixe.com/communal-table/how-do-i-know-restaurant-bookkeeper-doing-good-job) for the signs to watch once you've hired one.

### Is a CPA firm better than a bookkeeping service for a restaurant?

They do different jobs. A CPA firm handles tax strategy and filing and may offer bookkeeping as a side service. A restaurant bookkeeping service does the weekly and monthly work and hands clean books to your CPA. Most independent restaurants are best served by both, with the bookkeeping service doing the volume work at a lower monthly cost.

### How long does it take to switch bookkeeping providers?

For a single location with reasonably current books, onboarding is usually a few weeks: connecting the POS, bank, payroll and delivery platforms, agreeing on a chart of accounts, and running the first close. Plan the switch for a period boundary rather than mid-month, and keep access to your old system until the first new close is done.
