Short answer: FIXE uses AI in two places. We use it to build our software, and we use it to do the prep work on your books: pulling in your POS, payroll, invoice, delivery app and bank data and sorting it fast. Then people who know restaurants check it, tie it back to your bank account and tell you what it means. AI can't do all of a restaurant's bookkeeping yet, because the hard part is the gray area between those data sources. The easiest way to picture it: the AI is the line cook, and we're the chef.

Everyone is talking about AI right now. Owners ask me all the time: how can I use it, what can I get out of it, can it help me understand my numbers better?
Fair questions. But when you strip it down, AI in your back office comes down to two things. Is it going to save you time and money? Or is it going to give you better information so you can run your restaurant better? Ideally both. Here's how we think about each one at FIXE.
Yes. FIXE is the restaurant industry's first AI-enabled bookkeeping firm, and we use AI in two places.
First, we use it to build our product. Like almost every engineering team today, ours uses AI to help write and test the software our customers log into every day.
Second, and more important for you, we use it on the books themselves. When I started FIXE, AI wasn't part of the conversation. What we did on purpose was build a system: one restaurant-specific way of doing the books, the same way for every customer. That's what makes AI useful for us now. Because every set of books is built the same clean way, the AI has something consistent to learn from.
Think about everything that has to come together before you see a P&L. I used to say restaurants have three big data sources. Now there are four:
All of that has to be pulled in, sorted and tied back to your bank account, so you can see why the balance is low this month or why it's growing. That's the prep work, and AI is fast at it. It helps us be more efficient, more accurate, and get you your numbers sooner.
Not yet. And I'd be careful with anyone who tells you it can.
The hard part of restaurant books lives in the gray area between those four sources. A delivery payout lands in your bank as one number, but it's really sales minus commissions, fees and marketplace taxes. Tips pass through your account but belong to your staff. POS sales don't match deposits because of timing. Some months have three payrolls and some have two. That nuance is where restaurant expertise comes in, and it still takes a level of oversight that today's AI models don't fully have.
| Where the data comes from | What the AI handles (the prep) | What a restaurant person handles |
|---|---|---|
| POS | Pulls in daily sales, discounts and tips | Explains why POS sales and bank deposits don't match, and keeps tips as money owed to staff |
| Payroll | Brings in every pay run | Puts labor in the right period, so a three-payroll month doesn't look like a disaster |
| Vendor invoices | Reads invoices and line items fast | Applies credits, catches short shipments and keeps food cost in the right month |
| Delivery apps | Pulls in payouts | Grosses up sales and books commissions and fees separately |
| Your bank account | Matches transactions | Ties everything back to the bank, so you know why it's up or down |
Anyone can build a fancy dashboard with a green arrow when something goes up and a red one when it goes down. That's not the point.
Because of how we built FIXE, we have years of restaurant banking data, payroll data and invoice data, down to the ingredient. Across hundreds of restaurants, some have great food cost. Some run really lean labor. Some have a marketing setup that's actually driving sales.
What we're working toward is surfacing what the best of them do and bringing it back to you as quick wins. So you're not only learning from your account manager. You're learning from the whole group. I've spent about 30 years in this industry, and a lot of our team has run restaurants too. Putting that experience, plus what our customers teach us every month, behind the AI is where it starts to get valuable.
That's the goal. Every month we get more efficient, and we want that value to go back to our customers, in dollars and in time. We plan to bring out a lighter version of our full-service bookkeeping in early 2027 that leans on AI even more, so more of those savings land back in your pocket.
But don't fool yourself. AI can't do all of the bookkeeping quite yet. It takes a lot of learning and training, and that's the work happening behind the scenes right now.
People ask me why we haven't built an AI-only bookkeeping service. Part of the answer is history: when I started FIXE, there was no AI. The real answer is that we're restaurant owners and operators ourselves.
Once in a while, you want to talk to a real person. You want someone who knows your business when you have a question about your numbers. Our customers tell us the value they get from FIXE is that we're restaurant specific, we know the industry, and they have a dedicated person they can reach. That isn't changing. FIXE will always have a human in the loop.
What AI does change is how that person spends their day. We want our account managers to be fast and accurate when they deliver your financials, and we want them to be your champion, answering the questions that matter instead of being buried in data entry. AI takes more of that data work off their plate every month, so they have more time for you.
Here's the easiest way I can put it. AI is the line cook. It does the prep: the cutting, the chopping, the portioning, fast and without getting tired at midnight.
FIXE is the chef. We come in, put it all together, check every plate and hand it to you on a silver platter: a P&L you can actually use. A kitchen with only line cooks still puts plates up. Nobody's checking whether the dish is right.
Whoever does your books, these five questions will tell you fast whether their AI is helping you or just helping them:
Yes. FIXE uses AI to build its software and to do the prep work on your books, like pulling in and sorting POS, payroll, invoice, delivery app and bank data. Restaurant people review the work, tie it to your bank account and explain what it means.
Not yet. AI is fast at data entry and sorting, but restaurant books depend on judgment calls between data sources, like delivery payouts, tips and deposit timing. Those still need oversight from someone who knows restaurants.
Yes. Every FIXE customer has a dedicated account manager. AI takes data work off their plate so they have more time to answer your questions.
That's the plan over time. FIXE plans to launch a lighter version of its full-service bookkeeping in early 2027 that relies on AI even more, with the savings passed back to restaurants.
AI does the prep work on your books, fast and at volume. FIXE's restaurant people put it together, check it and deliver a P&L you can trust and act on.
