# Can Outsourced Bookkeeping Support Your Restaurant CFO?

**Short answer:** Yes. An outsourced bookkeeping service can work with, and usually should work under, your in-house controller or CFO. In a multi-location group, the bookkeeping service owns the transactional work across every location and entity: sales journals, delivery reconciliation, AP, payroll posting, bank reconciliation and the period close. Your controller or CFO owns judgment: budgets, forecasts, cash strategy, financing, lease decisions and what the numbers mean. The arrangement works when the hand-off is explicit, the close calendar is shared, and the CFO gets clean books on a fixed day instead of building them.

I hear a version of this question from two directions. Growing groups that just hired a controller ask whether they still need us. Groups with a fractional CFO ask whether the CFO should also do the books. The answer to both is the same: these are different jobs, and the expensive person shouldn't be doing the cheaper one. Here's how the split works in practice.

## What does a bookkeeping service do that a controller or CFO shouldn't?

A restaurant controller or CFO is a finance leader. Their value is in decisions: where the margin is going, whether the next lease pencils, how much cash to hold, when to renegotiate the produce contract, how to structure the next location. Every hour they spend coding invoices, reconciling DoorDash payouts or chasing a store manager for an inventory count is an hour of leadership you paid for and didn't get.

A restaurant bookkeeping service exists to do exactly that volume work, on a schedule, at a lower cost per hour, with restaurant-specific rules baked in. The transactional layer includes:

- Daily or weekly sales journals from the POS, with tenders reconciled to deposits
- Delivery platform reconciliation, fee tracking and adjustment disputes
- Invoice capture, coding, approval routing and weekly vendor payments
- Payroll journal posting, tip liabilities and payroll tax reconciliation
- Bank and credit card reconciliation for every entity
- Period close, accruals, intercompany clearing, and a finished P&L and balance sheet on a stated timeline

When that layer is done well, the controller or CFO opens a clean set of books on day five after close and spends the month on the work only they can do.

## How do the responsibilities split between the bookkeeper and the finance leader?

This is the division we set up with groups that have an in-house controller or a fractional CFO. It's a starting point; the line moves depending on the size of the group and the strengths of the person in the seat.

| Responsibility | Outsourced bookkeeping service | In-house controller or CFO |
| --- | --- | --- |
| Chart of accounts | Maintains it and applies it consistently across entities | Approves changes and sets reporting structure |
| Sales and delivery reconciliation | Owns it, every payout, every location | Reviews platform fee and adjustment rates by store |
| Accounts payable | Intake, coding, routing, weekly payment run | Sets approval thresholds, reviews exceptions, negotiates vendor terms |
| Payroll | Posts payroll journals, reconciles tips and taxes | Sets labor targets, approves schedules against budget |
| Period close | Delivers finished statements on the stated day | Reviews, asks questions, signs off |
| Management reporting | Produces the standard package: side-by-side P&Ls, KPIs, AP aging | Adds commentary, variance analysis and forecasts |
| Cash management | Reports position and upcoming obligations | Owns the 13-week forecast and financing decisions |
| Budgets and forecasts | Supplies clean actuals in the budget format | Builds and owns them |
| Tax and audit | Provides schedules and support to the CPA | Manages the CPA relationship and tax strategy |
| Growth decisions | Provides data | Makes the call |

## When does a restaurant group need a controller or CFO at all?

Not as early as most owners assume, and not as late as some wait. We wrote a longer answer in [when do I need a CFO or controller for my restaurant](https://hub.getmyfixe.com/communal-table/when-do-i-need-cfo-controller-for-my-restaurant), but the short version:

- **One to three locations:** a restaurant bookkeeping service plus your CPA is usually enough. The owner does the light finance leadership with good reports in hand.
- **Three to ten locations, or any financing event:** a fractional CFO on top of outsourced bookkeeping is the sweet spot. You get senior judgment a few days a month without a full-time salary, and the bookkeeping service keeps the CFO's time spent on the work that's worth their rate.
- **Ten plus locations, multiple entities, investors:** an in-house controller becomes worth it, and the question is whether they run a team or run a service. Many controllers would rather manage an outsourced team on a fixed fee than hire, train and retain two staff accountants.

We compared the in-house route directly in [outsourced bookkeeping vs an in-house controller](https://hub.getmyfixe.com/communal-table/outsourced-bookkeeping-vs-in-house-controller). This piece is about doing both, which is where many multi-location groups end up.

## What makes the collaboration work?

Four things, all of them about clarity rather than tools.

1. **One close calendar with a hard delivery date.** The bookkeeping service commits to a finished P&L within a set number of business days. Ours is within 5 business days of period close. The CFO plans the month around it.
2. **A written responsibility split.** Use the table above, edit it, and put it in writing so nobody assumes the other party is reconciling the Uber Eats account.
3. **Shared access, not forwarded reports.** The CFO should have direct access to the accounting file, the AP tool and the reporting layer. Reports arriving by email is how questions take a week.
4. **A standing monthly review.** Thirty minutes after close: what was unusual, what accruals were estimated, what's still open. It replaces a month of back-and-forth.

## What does the CFO get out of it?

Time and trust. Without solid bookkeeping underneath, a CFO can spend the first weeks of an engagement fixing the books and the rest explaining why the numbers changed. With a restaurant-native bookkeeping service underneath them, the numbers are ready on a fixed day, the CFO's analysis is built on a stable base, and the owner gets the strategic conversation they were paying for. That's the whole point of layering the two.

## Frequently asked questions

### Can an outsourced bookkeeping service work with my in-house controller or CFO?

Yes, and it's a common setup for multi-location restaurant groups. The bookkeeping service handles transactions, reconciliation and the period close; the controller or CFO handles review, forecasting, cash strategy and decisions. Put the split in writing and share a close calendar.

### Will an outsourced bookkeeper replace my controller?

No. A bookkeeping service replaces the staff accountant and bookkeeper roles, not the finance leader. If you have a controller who's spending most of their time on transactional work, outsourcing that work lets them do the controller job you hired them for.

### Should my CFO have access to the bookkeeping system?

Yes, full read access at minimum, and usually approval rights in the AP tool. The CFO should be able to see the general ledger, run reports and trace any number to its source without asking. That access is standard in how we work with our customers' finance teams.

### Who manages the CPA relationship, the bookkeeper or the CFO?

The CFO or controller manages the relationship and tax strategy. The bookkeeping service supplies the year-end schedules, reconciliations and supporting detail directly to the CPA so the CFO isn't the middleman for routine requests.

### How does FIXE work with a customer's controller or fractional CFO?

FIXE is restaurant bookkeeping software with the bookkeeper included. We run the transactional layer and close for every entity, deliver weekly KPIs and a monthly P&L within 5 business days of period close, and give the finance leader direct access to the books, AP tool and reports. The controller or CFO reviews, adds analysis and owns the decisions. Plan pricing is per location and published on the [pricing page](https://www.getmyfixe.com/pricing/).
