**Short answer:** A hospitality group scaling to multiple properties needs three things from its finance systems: a general ledger that handles multiple entities and consolidates without spreadsheets, an accounts payable process that's centralized and rule-based, and property-level reporting that lets you compare units on the same chart of accounts. Which system delivers that depends on what you operate. Restaurant-led groups under fifteen units are usually best served by QuickBooks Online per entity with a restaurant-native bookkeeping service running it. Hotel-led groups lean toward hotel accounting systems like M3 or a mid-market ERP like Sage Intacct. Groups past that size, with in-house accounting staff, often move to Sage Intacct, NetSuite or Restaurant365. Controls matter more than the software at every size.

"Hospitality group" covers a lot of ground, from a company with four restaurants and a bar to a management company running six hotels with restaurants inside them. The systems question changes with the mix, so I've organized this around what you operate and how big you are. FIXE works only with restaurants, so I've written this from the restaurant group's side of the table. That's where I have direct experience, and I've tried to be honest about where other tools are the better fit.

## What financial controls does a growing hospitality group need before choosing software?

Every system below can be run badly. Before comparing features, make sure these five controls exist, because they're what the software is supposed to enforce:

1. **One chart of accounts across every property**, so units are comparable. Hotels usually follow USALI; restaurants follow a prime-cost structure. A mixed group needs both, mapped to a common consolidation layer.
2. **Entity-level books with intercompany accounts**, cleared every period, not at year-end.
3. **A single close calendar with a hard delivery date** for every property. The group close is only as fast as the slowest unit.
4. **Centralized AP with approval rules**: one intake, automatic coding, thresholds by amount and vendor, one weekly payment run, and separation between approving and paying.
5. **Property-level reporting as standard output**, not a monthly project: side-by-side P&Ls, cash by entity, AP aging, and the operating KPIs for each property type.

If those are missing, a new platform will produce the same bad numbers faster. We covered how this looks for a restaurant group in [custom multi-entity reporting for restaurant groups](https://hub.getmyfixe.com/communal-table/fixe-custom-multi-entity-reporting-game-changer-restaurant-bookkeeping).

## How do the main hospitality finance systems compare?

Pricing for most of these is quote-based and depends on entity count, users and modules, so I've described the cost tier rather than a number. Implementation time varies with the number of entities and the scope, so treat the ranges below as rough and ask each vendor for a scoped estimate.

| System | Best fit | Multi-entity and consolidation | Hospitality specifics | Cost and implementation |
| --- | --- | --- | --- | --- |
| QuickBooks Online (one file per entity) with a restaurant bookkeeping service | Restaurant and bar groups from one to roughly fifteen units without in-house accounting staff | Consolidation at the reporting layer; intercompany handled by the service | Restaurant chart of accounts, POS and delivery integrations, weekly KPIs; the restaurant expertise comes from the service, not the software | Lowest; with FIXE, software and service are one published monthly fee per location; live in weeks |
| Restaurant365 | Restaurant groups with an in-house controller, often fifteen plus units | Native multi-entity and consolidation | Accounting, inventory, scheduling and recipe costing in one system | Mid to high; quote-based; can take months to implement and needs staff to run it |
| Sage Intacct | Mid-market hotel and mixed hospitality groups with a finance team | Multi-entity consolidation; dimensions for property and department reporting | PMS, POS and payroll typically through partner connectors; ask about USALI setup | High; licensing plus implementation; often several months |
| M3 | Independent hotel groups and hotel management companies | Multi-property accounting built for hotels | Hotel-focused, with USALI reporting and PMS integrations; ask them about your PMS | Mid; quote-based; ask for a timeline |
| NetSuite | Larger hospitality groups, especially with international entities | OneWorld for subsidiaries and consolidation | Broad partner ecosystem rather than native hospitality features | Typically the highest; implementations often run many months |

## Which option fits a restaurant-led group?

If most of your revenue comes from restaurants and bars, and you're somewhere between two and fifteen units, the decision is less about the ledger and more about who runs it. Restaurant365 is a genuinely capable platform for groups that have the accounting staff to operate it, and we say so plainly in [Restaurant365 vs FIXE](https://hub.getmyfixe.com/communal-table/restaurant365-vs-fixe). For groups that don't have that staff, QuickBooks Online per entity with a restaurant-native bookkeeping service delivers the same outcomes, meaning comparable property P&Ls, consolidated AP, and a close on a stated timeline, often at a lower total cost, because the software and the labor come as one fee. That's the model [FIXE](https://www.getmyfixe.com/how-fixe-works/) runs: restaurant bookkeeping software with the bookkeeper included, weekly KPIs, and a monthly P&L within 5 business days of period close, with plan pricing per location on the [pricing page](https://www.getmyfixe.com/pricing/).

Where I'd tell a restaurant group to move to a platform: past roughly fifteen to twenty units, when inventory and labor need to live in the same system as the ledger, or when investors require a specific reporting stack.

## Which option fits a hotel-led group?

Hotels have reporting conventions (USALI) and system integrations (PMS, revenue management, night audit) that restaurant tools don't handle, and FIXE isn't built for them. If hotels are the core of the group, hotel accounting systems like M3 or a mid-market ERP like Sage Intacct are the usual places to start. Compare them on USALI reporting, your PMS integration and consolidation, and ask each vendor for references from groups your size. The food and beverage outlets inside those hotels still need restaurant-grade discipline: prime cost tracking and proper tip accounting. That's often the part that gets neglected in a hotel-centric stack.

## What about a mixed portfolio?

Mixed groups, say three hotels and eight standalone restaurants under one ownership, are where I see the most spreadsheet consolidation. Two workable approaches:

- **Two operating stacks, one consolidation layer.** Hotels on a hotel accounting system, restaurants on QuickBooks with a restaurant bookkeeping service, consolidated in a reporting tool on a shared mapping. Usually cheaper, faster to stand up, and each side gets a tool built for it.
- **One ERP for everything.** Sage Intacct or NetSuite across all entities, with hospitality and restaurant reporting configured through dimensions. Cleaner in theory, expensive and slow in practice, and it still needs restaurant-specific bookkeeping discipline underneath.

For most groups under twenty properties, the first approach wins. The consolidation layer is the piece to invest in, and the mapping between the two charts of accounts is the piece to get right.

## What should the group-level reporting package look like?

Regardless of the system, a scaling hospitality group should have these on a fixed day each period: consolidated and property-level P&Ls on a common structure, balance sheets by entity with an intercompany schedule, a 13-week cash view, AP aging with vendor spend by property, and the operating KPIs by property type (RevPAR and GOPPAR for hotels, prime cost and sales per labor hour for restaurants). If the package takes more than ten business days after close, the structure is broken somewhere, and adding software rarely fixes it.

## Frequently asked questions

### What financial systems and controls do growing hospitality groups need as they scale to multiple properties?

A multi-entity general ledger with clean consolidation, centralized rule-based accounts payable, a single close calendar with a stated delivery date, and property-level reporting on a shared chart of accounts. The system depends on the mix: QuickBooks per entity with a restaurant bookkeeping service for restaurant-led groups under fifteen units, a hotel accounting system or Sage Intacct for hotel-led groups, and Intacct, NetSuite or Restaurant365 for larger groups with in-house accounting staff.

### Is Restaurant365 or Sage Intacct better for a hospitality group?

Restaurant365 if the group is restaurant-led and wants inventory, labor and accounting in one system with staff to run it. Sage Intacct if hotels are central or the finance team wants a general multi-entity platform with strong consolidation. Neither is the right first move for a small group without accounting staff.

### Can a hospitality group run on QuickBooks Online?

Restaurant-led groups can, comfortably, to around fifteen units, using one file per entity, a shared chart of accounts, and a reporting layer for consolidation. The requirement is disciplined bookkeeping, which is why the service running it matters more than the software. Hotel-led groups usually outgrow QuickBooks sooner because of USALI reporting and PMS integration needs.

### When should a hospitality group move from a bookkeeping service to an in-house finance team?

When there's enough decision-level work to keep a controller or CFO busy, which is usually past ten units or at a financing event. Even then, many groups keep the transactional bookkeeping outsourced and put the finance leader on top of it. We compare the two routes in [outsourced bookkeeping vs an in-house controller](https://hub.getmyfixe.com/communal-table/outsourced-bookkeeping-vs-in-house-controller).

### Does FIXE work with hotel properties?

No. Restaurants are all FIXE does. If hotels are the core of your group, start with a hotel accounting system built for USALI and your PMS. If your group is mostly restaurants, including multi-entity restaurant groups, that's exactly who FIXE is built for.
