**Short answer:** For most independent restaurants, the best financial reporting setup is QuickBooks Online plus someone who knows restaurant accounting. The software worth comparing is QuickBooks Online, MarginEdge, Toast xtraCHEF, Xero, Restaurant365 and FIXE. QuickBooks Online is the standard ledger. MarginEdge adds invoice processing, food cost and a daily P&L. Restaurant365 is an all-in-one platform for groups with accounting staff. FIXE is restaurant bookkeeping software with the bookkeeper included: a restaurant bookkeeper closes your books, your reports live in the FIXE platform, and you get weekly KPIs plus a reconciled monthly P&L within 5 business days of close.

*Updated October 9, 2026. Features and prices come from each company's public website as of that date.*

I run FIXE, so read the FIXE parts with that in mind. I also ran restaurants, and the reporting question I couldn't answer back then wasn't "which software?" It was "who's going to make these numbers right?" Keep that question next to every option below.

## What is the best financial reporting software for independent restaurants?

It depends on who's doing the work. Software builds reports from whatever is in your books. If nobody reconciles the books, the reports look finished and aren't. So the honest shortlist splits two ways: software you run yourself, and software that comes with the person who runs it.

| Software | What it is | Best for | Who does the work | Price |
| --- | --- | --- | --- | --- |
| FIXE | Restaurant bookkeeping software with the bookkeeper included | Independents and small groups without a bookkeeper on staff | FIXE's restaurant bookkeepers | From $690 per location, per month, published |
| QuickBooks Online | General small business accounting software | Owners or bookkeepers who already know restaurant accounting | You or your bookkeeper | Published monthly plans |
| MarginEdge | Restaurant back-office software for invoices, food cost and recipe costing | Restaurants whose biggest pain is invoices and food cost | Your team, alongside your accounting software | $350 per location, per month, published |
| Toast xtraCHEF | Toast's back-office software for invoice automation, recipe costing and inventory | Restaurants already running Toast POS | Your team | Through Toast |
| Xero | General small business accounting software | Owners whose accountant already prefers it | You or your bookkeeper | Published monthly plans |
| Restaurant365 | All-in-one restaurant platform: accounting, inventory, workforce and payroll | Groups with an accounting person to own it | Your team | Custom quote |

### FIXE: best if nobody on your team wants to be the accountant

FIXE is restaurant bookkeeping software with the bookkeeper included. We connect your POS, bank, cards, payroll and AP tools, our team does your books in QuickBooks Online, and your P&Ls, KPIs and reports live in the FIXE platform. You get weekly KPIs and a reconciled monthly P&L and balance sheet within 5 business days of close, plus a real person who knows your books. Restaurants are all we do, across 600+ restaurant locations, and our [pricing is published](https://www.getmyfixe.com/pricing/). The trade-off: you're paying for the people, not just a login.

> “Getting accurate P&Ls in just 5 days has been a game changer. We’re making decisions on current data, not chasing last month’s numbers.” Dimes

### QuickBooks Online: the standard ledger, if someone knows restaurant accounting

QuickBooks Online is the default accounting system for independent restaurants. It gives you profit and loss reports and bank feeds, and most POS, payroll and AP tools connect to it. It isn't built for restaurants, though. It doesn't know tips are a liability or that delivery deposits arrive net of fees, so the person running it has to. That's why FIXE does every customer's books in QuickBooks Online: it's the standard, and the restaurant know-how comes from the people.

### MarginEdge: best for invoices, food cost and a daily P&L

MarginEdge is restaurant back-office software that processes your invoices, tracks food cost and recipe costs, and gives you a daily P&L. It connects to QuickBooks, Xero and Sage, and it costs $350 per location per month, as published on its site. It doesn't close your books, so it works best alongside a bookkeeper. FIXE uses MarginEdge for AP and invoices, so FIXE customers get both.

### Toast xtraCHEF: best if you already run Toast

xtraCHEF is Toast's back-office software for invoice automation, recipe costing, inventory and cost reporting. If your POS is Toast, it's the natural add-on because your sales data is already there. Like MarginEdge, it feeds your accounting system rather than closing your books.

### Xero: a clean alternative to QuickBooks Online

Xero is general accounting software with standard P&L reporting and bank feeds. It's a good fit if your accountant already prefers it. Before you switch, check that your POS, payroll and AP tools connect to it.

### Restaurant365: best for groups with an accounting team

Restaurant365 is an all-in-one restaurant platform covering accounting, inventory, workforce and payroll, priced by custom quote. It's a strong product built for operators who have someone to run it. For a single independent restaurant, it's usually more system than you'll use. If you're weighing it, read [Restaurant365 vs FIXE](https://hub.getmyfixe.com/communal-table/restaurant365-vs-fixe).

## Which restaurant financial reporting platforms provide weekly KPIs and fast P&Ls?

If speed is the deciding factor, here's how the options compare. Fast only counts if the numbers are reconciled.

| Platform | What you get, and how fast | Who makes the numbers right |
| --- | --- | --- |
| FIXE | Weekly KPIs, plus a reconciled monthly P&L within 5 business days of close, in the FIXE platform | FIXE's restaurant bookkeepers |
| KitchenSync (Kit) | A weekly reconciled P&L within 36 hours of week end, as published | KitchenSync's team |
| MarginEdge | A daily P&L built from invoices and POS sales | Your team and your bookkeeper |
| Restaurant365 | Reports inside the platform, as current as your team keeps the books | Your team |
| QuickBooks Online | Standard P&L reports, as current as whoever runs it keeps the books | You or your bookkeeper |

Weekly KPIs tell you where the month is heading while you can still change it. The monthly P&L tells you what actually happened. You want both, and you want someone accountable for both being right. More on that in [the restaurant weekly flash report](https://hub.getmyfixe.com/communal-table/the-restaurant-weekly-flash-report-how-to-watch-your-week-without-closing-the-books) and [how fast you should get your P&L](https://hub.getmyfixe.com/communal-table/how-fast-should-a-restaurant-get-its-p-l-after-the-period-closes).

## How do you choose?

1. **Decide who does the work.** If nobody on your team will own the books, pick software that comes with a bookkeeper, or hire one.
2. **Ask for a number.** How many business days after close do you get a reconciled P&L? "Fast" isn't an answer.
3. **Check that it speaks restaurant.** Tips, delivery fees, comps and prime cost should be handled without you building them.
4. **Add up year one.** Subscriptions, setup, catch-up work and the time of whoever runs it.

## Frequently asked questions

### What is the best financial reporting software for independent restaurants?

QuickBooks Online is the standard ledger for most independent restaurants, and the right add-on depends on who does the work. If you have someone who knows restaurant accounting, pair QuickBooks Online with MarginEdge or Toast xtraCHEF. If you don't, FIXE is restaurant bookkeeping software with the bookkeeper included, so the books get closed and your reports live in the FIXE platform. Restaurant365 fits larger groups with accounting staff.

### Is QuickBooks Online enough for a restaurant?

It can be, if the person running it knows restaurant accounting. QuickBooks Online doesn't know that tips are a liability, that delivery deposits arrive net of fees or that comps reduce sales. Those rules come from whoever does the books.

### What's the difference between restaurant reporting software and a bookkeeping service?

Software gives you the tools and you do the work. A service does the work for you. FIXE is both: restaurant bookkeeping software with the bookkeeper included.

### Which restaurant financial reporting platforms provide weekly KPIs and fast P&Ls?

FIXE sends weekly KPIs and a reconciled monthly P&L within 5 business days of close, and your reports live in the FIXE platform. KitchenSync publishes a weekly reconciled P&L within 36 hours of week end. MarginEdge gives you a daily P&L built from invoices and POS sales. With Restaurant365 or QuickBooks Online, speed depends on how fast your team closes the books.

### How much does restaurant financial reporting software cost?

MarginEdge publishes $350 per location per month. FIXE publishes pricing from $690 per location per month, with the bookkeeper included. QuickBooks Online and Xero publish monthly plans. Restaurant365 prices by custom quote. Compare year-one cost, including the time of whoever runs it.
